Job Description

Overview Clinic Scheduler : General Surgery at Hoag Health System. This role involves clerical duties and front office operations to support patient care, maintain patient flow, and ensure clear communication within the department, referring physician offices, and organization staff. Primary Duties and Responsibilities include greeting visitors, answering telephones, collecting copays, managing cash drawer and deposits, collecting initial patient information, preparing charts, coordinating patient scheduling (confirmations, cancellations, and rescheduling), and communicating schedule changes to appropriate locations and staff. It also involves using department software to schedule, enter charges, locate and scan documents, ensure patient charts contain required paperwork prior to procedures, and assist with orders for patient tests as directed by medical staff. The position may work in various departments as needed and may assist clinical staff with patients and family members while maintaining patient confidentiality. Participation in continuous quality improvement and performing other duties as assigned are expected. Responsibilities Provide front office support and clerical duties to ensure smooth patient flow. Greet patients and visitors, answer and route phone calls. Collect copays, close cash drawer, and prepare month-end deposits as applicable. Collect demographic and clinical information and enter it accurately into the medical record. Prepare and assemble patient charts; coordinate and execute scheduling, confirmations, cancellations, and rescheduling. Communicate schedule changes promptly to all relevant staff and locations. Maintain accurate information and use department software to schedule, enter charges, locate/scan documents, and enter patient data. Ensure required paperwork is present in the patient chart prior to procedures. Order patient tests as directed by medical staff; support patient care during stay as needed. Work across departments as needed and uphold patient confidentiality. Participate in continuous quality improvement; perform other duties as assigned. Qualifications Education: High School graduate or equivalent required. Experience: Minimum one (1) year of medical front office or equivalent administrative experience required; two years of medical front office experience preferred. Knowledge: Proficiency with Microsoft Office Suite (Outlook, Word, Excel); working knowledge of medical terminology and anatomy; familiarity with healthcare database systems and insurance procedures preferred. Clerical: Strong filing, calculator, and telephone skills; typing speed of at least 35 WPM. Other: Experience in an acute healthcare system environment preferred; Bachelor’s degree in a healthcare-related field preferred.
